Pavilion Guidelines

Product, brilliant set-up, and meaningful interaction with visitors – these are the three pillars of our curatorial selection for the BIG SEE Trade Show.
Each exhibitor may highlight up to three selected innovations or design products.

Pavilions should be aesthetically furnished to achieve maximum visual impact for an audience of architects. We strongly recommend working with an architect or interior designer to ensure a professional and coherent presentation. Roll-ups and promotional flags are not permitted in the exhibition space.

If you wish to offer snacks or drinks as promotional materials, please note that only packaged foods and beverages are allowed.

In addition to visual appeal, each pavilion should offer a meaningful and interactive visitor experience. We encourage concepts that invite active participation, reflection, or engagement — whether through sensor-based experiences, tactile architectural details, or installations that trigger dialogue. The goal is to transform your space from a static display into a memorable and innovative encounter.

Delivery Instructions

Venue: Grando, Obala 10, Portorož

All loading/unloading must be done in front of Grando Hall.

1. Vehicle Registration – by May 1

Please email the following to ivan@bigsee.eu:

  • Vehicle type and brand
  • License plate number
  • Exact arrival & departure time (May 20 & 23)

Please note:

  • Standard delivery access is limited to vehicles up to 3.5 tons.
  • If your vehicle exceeds 3.5 tons, you must also request special permission by May 1st by contacting ivan@bigsee.eu.
  • Vehicles over 3.5 tons will receive specific instructions regarding the delivery route and access schedule.

2. Loading Area & Parking Rules

Once the equipment has been loaded or unloaded, vehicles must be moved immediately – the loading area is strictly for loading and unloading, with a maximum stop time of 15 minutes.

Afterwards, vehicles must be relocated to one of the designated short-term delivery parking areas (free of charge, max. 2 hours).

Short-term parking is exclusively for delivery vehicles.

3. Accompanying Vehicles (Non-delivery)

Vehicles not transporting exhibition equipment (e.g. accompanying or support vehicles) are not permitted to use the delivery zone or the designated short-term parking areas.
They must use public parking facilities available at the following locations:

Street parking & nearest parking areas

Hosting an Event at Your Pavilion

As an exhibitor, a great way to bring extra attention to your pavilion is to host a small on site event. This can be a short meet up with an architect or designer you collaborated with on a real project.

These moments attract the audience, increase traffic at the pavilion, and strengthen the brand through a real story. All exhibitor events will be included in the official programme. Selected events will also be featured as trade show highlights.

Invitation to the BIG SEE Grand Prix Award Ceremony

In 2026, for the first time, all exhibitors and sponsors are welcome to join the BIG SEE Grand Prix Award Ceremony on 22 May. It is a great chance to be present at the key moment of the BIG SEE Awards, meet award winners and partners in a relaxed setting, and strengthen relationships beyond the trade show floor.

The ceremony will take place in the Grando complex, in a dedicated event area within the same venue, with entrance from the seaside. Tickets are 100 EUR per person (preferred exhibitor rate; standard price is 150 EUR) and include the award ceremony programme, followed by dinner and networking.

Please email ziva@bigsee.eu to confirm the number of attendees, and we will take care of the invoice (100 EUR per person).
The dress code is business casual.

Invitation to the SEEnergy Party

After a full first day of the programme on 21 May, the SEEnergy Party is the easiest way to keep the conversation going. It is a relaxed evening with music where award winners, architects, exhibitors, and partners meet without schedules, presentations, or pressure.

The party takes place at Caffe Teater Piran, Stjenkova ulica 1, Piran, in the heart of Piran’s old town, just a short walk from Tartini Square. Guests can join the group walk from Portorož or choose from several convenient transport options to get there.

Tickets

Each participating brand receives a code and registration link for daily tickets for its team. To activate exhibitor access, team members simply select “Exhibitor” during registration.
Each brand also gets a custom designed digital invitation in the official festival visuals, made from the submitted product photos, so it can easily invite architects by email or social media and drive them directly to the pavilion.

Mobile App

We highly encourage all participants to exchange contacts with architects by scanning the QR code on their badges. The collected contact data will be saved automatically in the system and will be accessible through your profile on our website.

Materials for Exhibitor Visibility Packages and Sponsors are collected separately. Some content is then developed and tailored together according to the selected package. Please see a few guidelines below.

Four presentations will be delivered in total, two on the first day and two on the second day. Each presentation should be up to 10 slides and no longer than 3 minutes. The presentations will be featured alongside BIG SEE award-winning architects and should be prepared with this context in mind.

The presentations must focus only on visions and perspectives, without direct commercial promotion of products or brands. Exhibitors may deliver the same presentation each time or prepare different versions. If preferred, the presentation may also end with a short invitation to visit the exhibition pavilion.

The deadline for final presentations is May 7. Presentations are considered final once they are confirmed by the organizer. Presentations should be sent in PPT or PDF format (widescreen 16:9), maximum 30 MB, to ivan@bigsee.eu.

The exact presentation schedule will be communicated 14 days before the event.

For social media promotion across Instagram, LinkedIn, and Facebook, the posts will be prepared based on the details below.

  • Instagram, LinkedIn, and Facebook links (or exact @handles) for correct tagging

  • Product selection (only): confirm the product(s) to be promoted

BIG SEE will prepare the post copy and visuals and send a draft for approval before publishing.

Logo: In vector format –  in curves (EPS, Illustrator)
